The Vapaus Admin Portal is your company’s centralized digital tool for managing the bike benefit. The portal is designed to provide a clear overview of benefit utilization and to make administrative routines as effortless as possible.
Home/Management: Overview and Monitoring
Immediately upon logging in, the Home/Management page provides a real-time summary of your company's bike benefit status. The view aggregates key metrics, such as the number of active bike contracts, the total number of employees, and the calculated utilization rate.
You can also easily track interest in the benefit by viewing new contracts started within the last month and prepare for upcoming changes by seeing contracts ending in the following month at a glance.
Employees Section: Users and Permissions
In the Employees Section, you can manage beneficiaries and view the history of both active and ended contracts. This is also where you process approval requests sent by employees seeking access to the benefit. If necessary, you can revoke an employee's bike permission if their eligibility for the benefit ends.
However, it is important to note that revoking a permission only prevents new bike acquisitions—it does not affect an employee's existing, active bike contract. Active contracts must always be terminated according to the separate termination process.
Reports: Support for Payroll and Auditing
In the Reports Section, you will find all the necessary data for payroll and auditing in PDF or CSV format. The system automatically generates reports containing taxable values, cost centers, and other information required for payroll.
It is worth noting that data regarding the previous month's agreements is most accurate when reports are downloaded on the second business day of the month.
Settings: Monitoring Parameters and Updating Data
On the Settings Tab, you can find your company-specific bike policy and defined authentication rules, such as approved email domains. The core framework of the bike benefit, such as leasing parameters, is always defined prior to implementation, and employers cannot change these settings themselves within the portal.
If changes are needed to this framework, please contact b2bsupport@vapaus.io. However, you can independently update employee-specific details, such as cost centers or employee numbers, directly in the portal whenever this information changes.
