☝️ Note! Contracts must be cancelled no later than the 20th of the current month, so that they can be terminated during the same month. Otherwise, the end date of the contract will be moved to the end of the following month.

πŸ’°Bike return fee varies depending of the scope of benefit bike service offered by the employer, usually between 263,15-344,11€ + possible delivery fee (Helsinki central are 25,30€, rest of Finland 59,71€). Prices include VAT 25,5%.

πŸ› οΈ Your bike must meet the Return criteria for the return to be accepted without additional costs.

πŸ’‘Ordering a new Benefit bike is not possible until the old benefit bike contract has ended.

Example: Your current contract ends on August 31st, you can order a new bike from September 1st. on!

🚚 It is possible to return the bike yourself to Vapaus Bike Center in Helsinki at an agreed time. Alternatively, we pick up your bike from your home, for example (pickup is charged).

Exceptions regarding maintenance budget:

If your contract includes a maintenance budget and you have used it more than you have accumulated, the difference will be charged separately through your Vapaus user account.

If you haven't used the accumulated maintenance budget by the end of the leasing period, you will lose the right to the rest of the maintenance budget, and it will no longer be usable after the end of the leasing period.

πŸ’‘During the return, we check that the bike's condition meets the criteria* defined in the benefit bike guideline for the return. When the bike passes inspection it is marked as returned and the lease ends.

If the bike does not meet the criteria, we will contact the customer and agree on reimbursement of expenses.
*)Return criteria - the bike needs to meet the following requirements for the return to be approved:

  • The brakes are functional, and there is still tread on them;
  • The components of the powertrain are intact, and, for example, the wear and tear of the chain and gears do not hinder normal use;
  • The tires are intact, and there is still tread on them; whole and drivable
  • The gearbox is operational, and all gears engage properly;
  • There is no significant play in the bearings and hubs;
  • The rims are intact, and there are no noticeable twists;
  • The frame, fork, and bicycle tube parts are intact, and there are no fractures; 
  • The bike derailleur hanger is intact and straight;
  • The bike has not been tuned or modified;
  • The saddle, handlebars, and pedals are intact;
  • The special tools that came with the bicycle are present, and;
  • Self-installed parts have been removed from the bicycle at the time of return.
  • For electric bicycles, the bicycle's system should not give error codes, the electrical system and battery should function normally, and the display should be intact and operational.

1) Log in to your Vapaus user account at user.vapaus.io πŸ’»

2) Click the details of your active benefit bike πŸ‘‡

3) Click on the three dots ... on the right to open the menu and click "Return bike". This option is only visible to you if your benefit bike contract has active cancellation coverage


4) Select the reason for the return and proceed by clicking "Next"

πŸ’‘ You can go back to the previous step in the process at any time by clicking the arrow on the left side ⬅️ or cancel the return process by clicking the cross on the right side βœ–οΈ and then clicking "Cancel return"

5) Choose return method

A) I will return the bike myself 🦢 Remember to reserve a return date and time later!
B) I want the bike picked up 🚚

πŸ’‘ Self-return is free, while the pick-up fee varies between €25.30 and €59.71 (incl. VAT 25,5%) depending on the pick-up location.

5A) I will return the bike myself

  1. You'll see the location of Vapaus Bike Center on the map, click "Continue" to move on
  2. Select all the accessories that you want to redeem, if you want to keep the accessories yourself. You can see the redemption price of accessories and possible discounts. Click "Next"
  3. Upload (fresh) photos of your bike. Click "Next"
  4. You'll see a summarized Return checklist and instructions. You will also receive return instructions via email from our customer service afterwards. You can also access the Return checklist later in your user account, from your bike's information, by clicking ... three dots
  5. Add a personal e-mail address to your account so that you can continue to access the user account even if you forget your password and cannot access your work e-mail. Click "Continue"
  6. You'll see a summary of the Return Notice you created. The summary includes e.g. information about your return fee and redeemable accessories πŸ’°
  7. Choose whether to pay immediately (payment methods) or later. If you decide to pay later, an invoice will be added to your account. The invoice must be paid before the contract can be terminated. You can pay the invoice from your bike's information under View open invoices and by clicking on the open invoice and "Pay now"
  8. Book a Return Day! The bike cannot be returned to Vapaus' Bike Center without a reserved return date and time. The bike must be returned before the last day of your bike contract!
    The "Book Return Date" link takes you to the reservation site where you are asked:
    β€’ Vapaus code (mandatory information! You can copy it above the make and model of your bike)
    β€’ Brand, model and size of your bike (you can copy the info from your user account)
    πŸ“† Choose a day and time that suits you from the calendar
    Confirm the date and time you have chosen and fill in your information so that the Bike Center's staff can contact you if necessary! πŸ“ž

5B) I want the bike picked up

  1. Choose pickup location. Fill in the address information of the pickup location. You'll see the pick-up price.

6) When you have completed the return process successfully, the status of your bike will change from Active β†’ Pending return. Open invoices are shown in your bike information.

You will receive confirmation of the return notice and instructions of the return to your user account email address within 1-3 business days of your notification!
