Bike return in the middle of the leasing period

Return in the middle of the leasing period is possible if cancellation coverage is active on your contract.

How to return your bike in the middle of the leasing period

Start the return process through the Vapaus UserApp.

Important: To end your contract to the current month, start the return by the 20th. Requests after the 20th will end the contract on the last day of the next month.

Return fee: varies depending on your employer's benefit bike guideline. Prices are between 263,15–344,11€ plus possible delivery fees (Helsinki area: 50€, rest of Finland: 150€). All prices include VAT (25,5%).

Your bike must meet the return criteria for the return to be accepted without additional charges. Return criteria are listed in the benefit bike guideline in your UserApp account.

Note: you can order a new benefit bike after your current contract has ended. For example, if your contract ends on 31 August, you can order a new bike starting 1 September.

You can return the bike to our partner in Helsinki at a set time or we can arrange pick up from your preferred address (pick-up fees apply).

Exceptions for maintenance budget

If your contract includes a maintenance budget and you've used more than you've accumulated, the difference is charged together with the return fee.

If you haven't used your accumulated maintenance budget by the end of the contract, the remaining balance is forfeited and cannot be used after the contract ends.

The bike must meet the return criteria in your benefit bike contract. If it passes inspection, it's marked as returned and your lease ends. If not, we'll contact you about any charges.

Return criteria — your bike must meet all of the below conditions:

• Brakes are functional and have adequate tread
• Powertrain components are intact; normal wear on chain and gears is acceptable as long as it doesn't prevent normal use
• Tires are intact, drivable, and have adequate tread
• Gearbox is operational and all gears engage properly
• No significant play in bearings and hubs
• Rims are intact with no visible twisting
• Frame, fork, and tube parts are intact with no cracks
• Derailleur hanger is intact and straight
• Bike has not been modified or customised
• Saddle, handlebars, and pedals are intact
• Any special tools that came with the bike are present
• Any self-installed parts have been removed
• For e-bikes: system shows no error codes, electrical system and battery function normally, display is intact and operational

Normal wear such as minor scratches or paint marks from everyday use is expected and won't affect your return.

How to submit a return notice in the Vapaus UserApp

1. Log in to your Vapaus account at user.vapaus.io
   

2. Navigate to My bikes -> Choose your bike -> Three dots and select "Return bike". 
   This option only appears if your contract has active cancellation coverage.

3. Select the reason for the return and click "Next"
   

4. Choose return method
   

   Available return methods:

   • Self-return

   • Pick up

Self-return

1. You'll see our partner's, Yeply Recycled, address. Click "Continue".
2. Select any accessories you want to keep and redeem. You'll see the redemption price and any available discounts. Click "Next".
3. Upload fresh photos of your bike. Click "Next".
4. Review the return checklist and instructions. 
5. Add a personal email address to your account so you can maintain access even if you forget your password or lose access to your work email. Click "Continue".
6. Review the summary of your return notice, which includes your cancellation fee and any redeemable accessories.
7. Choose to pay immediately or later.
8. Book a return here. The bike cannot be returned without a reserved date and time, and it must be returned before your contract's end date.
9. You'll receive confirmation of your return notice and further instructions within 1-3 business days.

Pick-up

1. Select the pick-up location and fill in the address. You'll see the pick-up fee.
2. Select any accessories you want to keep and redeem. You'll see the redemption price and any available discounts. Click "Next".
3. Upload fresh photos of your bike. Click "Next".
4. Review the return checklist and instructions. 
5. Add a personal email address to your account so you can maintain access even if you forget your password or lose access to your work email. Click "Continue".
6. Review the summary of your return notice, which includes your cancellation fee and any redeemable accessories.
7. Choose to pay immediately or later.
8. You'll receive confirmation of your return notice and further instructions within 1-3 business days.
